Rules on governance regarding the protection of personal information

General
As part of the pursuit of its mission, AFC Psychometric Tests inc. must collect, use, store, and share personal information about its users. This personal information is confidential and AFC Psychometric Tests inc. is responsible for maintaining confidentiality and complying with its obligations under the law. As such, AFC Psychometric Tests inc. takes all necessary security measures to ensure the protection of the personal information it holds.

Justified sharing of personal information to the company that asked you to complete our tests
AFC Psychometric Tests inc. will not sell or rent your personal information to any unauthorized third party.

Roles and responsibilities of staff and companies using our tests

Customer Service Team
Customer service personnel use personal information to:
• Assist professionals who use our tests to:
   • find reports from their clients;
   • find incomplete tests and other uses that allow you to complete our tests;
   • produce and return results reports to you.

Research Team
Our test research staff use this data to compile general statistics for creating and updating our normative data by gender, age, country of origin, etc. in connection with our tests, to provide general descriptive statistics of our samples according to gender, age, country of origin, etc. of our different studies and to identify who has completed the same test several times over time to carry out studies of the temporal stability of the elements measured in our tests.

IT development and support team
Trusted external IT support staff to whom we entrust occasional mandates for the development of our tests and IT support may have access to our general databases and thus, to information on customers' personal data. for example, a technical intervention on the server that hosts our sites or a follow-up call following the testing of one of our tests). Where applicable, we ensure that their confidentiality policy implies that the professional or technical services carried out for the purposes of the mandates we entrust to them respect the spirit of our own confidentiality policy or we have written confirmations from them that they will only use this data for the purposes of the mandates entrusted to them. Furthermore, we will not sell your personal data to them.

Handling complaints
Any person who has reason to believe that their personal information has been handled inappropriately may file a complaint with the person responsible for the protection of personal information. The complaint must be made in writing and sent to [email protected].
The complaint will be analyzed and processed in complete confidentiality and within a reasonable time. The person responsible will provide a written response to the complainant.

AFC Psychometric Tests inc. offers training and awareness activities regarding the protection of personal information to its workforce who may be likely to have access to this data. These activities aim to recognize personal information, each person's responsibilities related to its protection, the identification of situations where it is necessary for operations and the application of good processing practices.

Retention and destruction of personal information
AFC Psychometric Tests inc. keeps the data collected according to their function, nature, and usefulness in offering our products and services. During the retention period, AFC Psychometric Tests inc. takes all necessary measures to ensure the security of data containing personal information.
Personal information is stored in Beauharnois (Quebec, Canada) on highly secure servers. Personal information may therefore be stored outside your country of residence, if an authorized entity to whom we disclose personal information is located outside the country.
Once the retention period has expired, personal information is irreversibly destroyed. Only statistics or reports containing depersonalized and anonymized data may be kept for extended periods.
